Privacy Policy

Last updated: April 30, 2025

1. Introduction

This Privacy Policy explains how Itempass Inc. (a US company) and Itempass BV (a Belgian company, wholly owned by Itempass Inc.) (collectively referred to as "Itempass", "we", "us", or "our") collect, use, disclose, and safeguard your information when you use our website, services, and browser plugin ("Plugin"). We take your privacy seriously.

This policy describes the types of information we may collect from you or that you may provide when you visit our website, use our services, or install and use our Plugin, and our practices for collecting, using, maintaining, protecting, and disclosing that information.

2. Information We Collect

We collect information through various means, including information you provide directly and information collected automatically through our website and Plugin.

A. Information You Provide Voluntarily:

We collect information that you voluntarily provide to us when you:

  • Register for an account on our website.
  • Sign up for our newsletter.
  • Contact us for support or inquiries.
  • Interact with features on our website, such as search and comparison tools.

B. Information Collected Automatically via the Plugin:

When you install and use our Plugin, we collect or access specific information necessary for its operation:

  • User Identifier: To identify you and associate you with your comparison lists, we store your unique Itempass User ID locally and securely within your browser's storage (`chrome.storage.local`). This allows the Plugin to function across browser sessions. You also have the option within the Plugin's menu panel to copy this ID to your clipboard for your convenience (`clipboardWrite` permission); this action is initiated entirely by you.
  • PDF Document Information: When the Plugin detects you are viewing a PDF document online and you interact with the Plugin's features (like adding the PDF to a list), we collect the web address (URL) of that specific PDF document.
  • PDF Source Context (Referrer URL): To help you remember where you found a particular PDF, the Plugin uses browser navigation events (`webNavigation` permission) to determine the web address (URL) of the page you visited just before accessing the PDF. This source URL tracking happens locally within your browser and is temporary; the information is cleared when the browser tab is closed (using the `tabs` permission solely for this cleanup purpose). The source URL is displayed to you within the Plugin's interface while you view the PDF. Importantly, this source URL is only sent to our servers if and when you explicitly choose to add that specific PDF to one of your comparison lists.
  • Plugin Interaction Data: We collect information about how you use the Plugin's features, such as adding PDFs to lists or managing your lists via the Plugin interface.
  • Technical Data for PDF Detection: Our Plugin requires permission to access data on all websites you visit (`<all_urls>` host permission). This broad permission is technically necessary to reliably detect when you are viewing a PDF document, as PDF URLs don't always follow a standard format. However, the Plugin is designed to only activate its core features and user interface when it specifically identifies that the current page is a PDF document. It performs a check for PDF content type but does not process or collect content from non-PDF pages.

C. Information Collected via Website:

(You may want to add details here about standard website data collection, e.g., cookies, analytics, IP addresses, if not covered elsewhere or if different from Plugin data)

3. How We Use Your Information

We use the information we collect for purposes including:

  • Providing, operating, and maintaining our website, services, and the Plugin.
  • Providing the specific features of the Plugin, such as allowing you to add PDFs to comparison lists, displaying the source context (referrer URL) for those PDFs within the Plugin interface, and managing your lists.
  • Synchronizing your comparison lists between the Plugin and our backend servers, ensuring your lists are up-to-date and accessible.
  • Maintaining your user identity within the Plugin across different browser sessions using your locally stored User ID.
  • Improving our website, services, Plugin, and overall user experience.
  • Sending you updates, security alerts, and support messages.
  • Sending marketing communications (only where we have your explicit consent or another valid legal basis).
  • Responding to your inquiries, comments, and support requests.
  • Complying with applicable laws, regulations, and legal processes.
  • Enforcing our terms and conditions and protecting our rights, privacy, safety, or property.

4. Backend Communication (Plugin)

The Plugin needs to communicate with our secure backend servers (hosted at a predefined URL set during the build process) to function correctly. This communication uses standard, secure web protocols (Workspace for API calls, EventSource for real-time updates via Server-Sent Events) and is necessary for:

  • Fetching your existing comparison lists.
  • Adding or removing PDFs from your lists.
  • Setting your active list.
  • Receiving real-time updates if lists are changed elsewhere (e.g., via the web dashboard).

This involves exchanging data such as your User ID, list information, PDF URLs, and, only when you add a PDF to a list, the associated source URL. Our Plugin does not download or execute any remote executable code from the server.

5. Data Security

We implement appropriate technical and organizational measures designed to protect your personal information against unauthorized access, alteration, disclosure, or destruction. This includes securing data stored locally by the Plugin and data transmitted to our servers. However, please be aware that no security measures are perfect or impenetrable, and we cannot guarantee absolute security.

6. Data Sharing and Disclosure

We do not sell your personal information. We do not share your personal information collected via the Plugin or website with third parties, except in the following circumstances:

  • Service Providers: We may share information with third-party vendors and service providers who perform services on our behalf (e.g., hosting providers), but only to the extent necessary for them to provide those services and under strict confidentiality agreements.
  • Legal Requirements: We may disclose your information if required by law, subpoena, or other legal process, or if we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
  • Business Transfers: If Itempass Inc. or Itempass BV is involved in a merger, acquisition, or sale of all or a portion of its assets, your information may be transferred as part of that transaction.

7. Data Retention

We retain personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law. Data stored locally by the Plugin (like your User ID) persists until the Plugin is uninstalled or the storage is cleared by you. Temporary data, like the locally tracked referrer URLs, is cleared when the relevant browser tab is closed.

8. Your Privacy Rights

Depending on your location (e.g., EU/EEA, California), you may have certain rights regarding your personal information, such as the right to access, correct, delete, or restrict the processing of your data. Please contact us using the details below to exercise your rights.
